What is a whistleblowing channel?

A whistleblowing channel is a structured means of reporting breaches and enabling an organisation to receive, assess and follow up those reports confidentially.

More than just a form

The form is the entry point. The process includes reception, information protection, assignment, communication, analysis, decision-making, recording and archiving.

Who is involved in the process?

The whistleblower reports the situation. The organisation appoints authorised people or teams to receive and follow it up. Other parties may only take part when necessary and in accordance with internal rules.

A channel should be assessed as a complete process, not merely as a submission page. The organisation should be able to show who receives information, how identities are protected, how dialogue is maintained and how decisions are documented.

When reviewing a solution, confirm the following elements and record the decisions in the internal procedure:

  • Supports written reports and, where applicable, verbal reporting.
  • Clearly distinguishes anonymous, identified and confidential reporting.
  • Restricts access by role, entity and potential conflict of interest.
  • Keeps messages, attachments, statuses, deadlines and decisions in one case.
  • Enables secure dialogue with the reporter through a private access code.
  • Explains data processing, retention and applicable rights.
  • Logs relevant actions without exposing unnecessary information.
  • Provides guidance on external channels and other appropriate routes.
